Armageddon is a laser tag tournament held annually for a small group of approximately 40–60 players. We plan to use texts to send time-sensitive, tournament-related notifications to registered participants only.
Examples of messages include: schedule changes, game start times, transportation coordination (bus pickups), food/meal updates, and hotel logistics.
Players must explicitly opt in to receive text and/or email notifications each year during our online registration process. Consent does not carry over from previous years — returning players must re-register and re-consent annually for the current tournament.
Messaging preferences are collected separately for SMS and email via clear checkboxes — not pre-checked — and players who do not opt in will never receive messages. No messages are sent to anyone who has not actively registered and provided affirmative consent for the current year's event. Consent records (including timestamp and method) are retained in our database.
Players can opt out at any time by updating their registration preferences, contacting a tournament organizer directly, or replying STOP to any text message. Opt-out requests are honored immediately and the player's messaging preference is updated in our system.
Players are informed of the STOP opt-out mechanism in the first message they receive.
All messages are strictly related to tournament operations — schedule updates, game announcements, transportation logistics, food service, and hotel arrangements.
We do not send marketing messages, promotional content, sales offers, or any communication unrelated to the active tournament event. No messages are sent outside of the tournament weekend period.
Player contact information (phone numbers and email addresses) is collected and stored solely for the purpose of tournament communication.
We do not sell, share, license, rent, or otherwise distribute any player data to third parties under any circumstances. Data is stored securely on our private server and access is limited to tournament administrators.
Message volume is minimal — typically fewer than 10 messages per player over the course of a single tournament event (4 days). Messages are only sent when there is actionable, time-sensitive information that directly affects the player's participation.
There are no recurring or scheduled message campaigns, and no messages are sent outside of the annual event.
All messages originate from a single tournament admin account and are sent through our privately built tournament management web application.
There is no automated marketing system, drip campaign, or bulk messaging platform involved. Messages are composed and sent manually by a tournament organizer in response to real-time event needs.
